Importance of Team Communication


Yes,it is correct to say that until and unless a team that can’t be able to communicate is not a team at all, it is just a group of individuals working towards their individual goals. As Communication is essential in building a successful team, without it the exchange of ideas, instructions, data, and information would not take place. It’s necessary for a team to have proper communication in order to function effectively.

There are two ways to communicate, the first is the speaker or writer and the next is the listener or reader. Barriers of communication can arise due to the mistakes of either the speaker or the listener. The solely responsibility of the speaker is to convey his/her message in a clear and decent manner so that the listener can be able to understand. This requires the speaker to understand the background of his or her audience and to use the appropriate language so as to present his or her message. Moreover, the speaker should make sure that he or she communicates his or her message to the appropriate people. If a written message is distributed, it is recommended that the message be checked for clarity before it is forwarded. The listener should pay attention to the details of what speaker the speaker says. In order to do this, the listener should to give his or her full attention to the speaker and not be doing other things while the speaker is talking. If necessary the listener should take notes. If there is anything that the listener does not understand, he/she should ask the speaker for clarification.

Communication needs to be done in a timely and orderly manner. If there is an urgent problem that needs attention, it should be informed to the appropriate team members as soon as possible. For urgent matters, team members should be contacted in person or through the phone; email and other ways of communication which are usually not able to relay the message as rapidly. While answering to the question, it is best that one responds in a reasonable amount of time; especially if a teammate is relying on the answer to continue with their task. If the person being asked does not know the answer, then he/she should just say so. Well it’s necessary to have proper balance of communication which would be not too much or not too little. Excess communication can be counter-productive.Beside this, there is no need to inform each and every single detail and information. There is also no need to report on the completion of routine tasks,unless an unexpected problem arises.

However,periodic updates on the project status can be beneficial for the team leader to determine the timeline for the completion of the project. Moreover, one has to make sure that he or she does not assume too much, if there is any such uncertainty, he or she should ask for clarification and illumination.
